I challenged myself to explain to you what operations is in 25 words or less—and I nailed it in just 22! Here it is, in all its glory – so we can understand and easily talk about a very powerful and foundational function in our businesses – and a critical key to our success.
‘Operations Planning strategically aligns critical resources, processes, and people to precisely align with and drive the business’s vision, mission, and core values.’
Why Do We Need This Concise Understanding?
A clear grasp of operations planning helps us communicate its value and ensures that everyone in the business understands their role in achieving common goals.
When we have this clarity it leads to better decision-making, faster problem-solving, and better alignment across various departments. When each member of the team – from us at the leadership level, to our staff – understands what operations planning entails, it brings about a cohesive work environment so chaos is reduced and the team’s ability to perform increases.
Key Elements Explained
Strategically Aligning Critical Resources.
When we talk about strategically aligning critical resources, the most successful professional services agencies know that ‘strategically’ is the important buzz word here.
We have to approach this effort with intention and have a solid plan so that we can ensure we are aligning the tools, technology, budget – and especially our people so our goals are achieved easier and with greater success.
Aligning the people means that they are in the right roles that maximize their abilities. I like the term, “the right butts in the right seats.”
Please Note: ‘Abilities’ in this sense does not mean just their current skills and knowledge – but also the characteristics needed that would allow them to uplevel in their current role, and beyond.
Aligning the tools and technology means that we avoid waste and redundancy and only invest in what we truly need – AFTER we have looked to optimize what already exists. This involves a systematic look into the current technologies we already have in place and assess their usage and effectiveness. We look at how each tool and technology integrates into our workflows, ensuring they are necessary for our operations and suitably matched to our specific requirements.
💡 Example. I have seen many clients and colleagues with multiple tools on board in order to manage their business, or their client’s businesses. They have a PM tool, a separate communication tool, a separate CRM, processes are documented in a separate tool, and so on. Much of this can be consolidated and streamlined into less technology.
Aligning the budget means that we do all of the above within the financial resources that are available. We let the budget help drive strategic decisions and put a focus on ROI and avoid underutilizing assets.
Processes.
Agencies that are successful are running streamlined businesses! The way they get streamlined is to cut waste and ensure that tasks and activities are performed consistently across the business. They usually take the form of Standard Operating Procedures (SOPs) and documented workflows.
Improving processes may include automating routine tasks so your team can focus on more strategic activities.. *And a tip for you. Automation doesn’t necessarily mean technology. It’s automated when you don’t have to think about what you are doing. When you, yourself, are running on auto-pilot.
Improving processes also includes more than just tasks. We want processes for how we do just about everything in our business that can be put on rinse-and-repeat.
💡 Practical Application. Take a digital marketing agency that has a goal to enhance client engagement and wants to optimize a campaign’s performance. They can integrate real-time feedback mechanisms into each stage of their marketing campaigns to achieve greater alignment with client expectations and improve campaign effectiveness. This process allows the agency to make adjustments on the fly, ensuring that marketing strategies remain responsive to client needs and market trends, ultimately enhancing overall campaign success and client satisfaction.
People.
The human element cannot be overstated, and our successful competition pays attention to this. When we align our people we ensure that all team members are not only aware of our vision, mission, core values and strategic goals but are also equipped with the necessary skills, attributes and motivation to achieve them – by the mechanisms we put in place. This involves continuous training, clear communication of expectations, and cultivating a culture that values feedback and innovation.
Challenges and Considerations
While the benefits of effective operations planning are numerous, the path isn’t without challenges. Resistance by our teams – or even our own internal resistance – to new processes and technologies can be a significant hurdle.
Forward-thinking companies overcome these challenges through strong leadership and clear, consistent communication that aligns the entire team’s efforts with the company’s strategic objectives.
Additionally, the rapid pace of technological change requires us to remain agile and responsive to new opportunities and threats.
Ready for Change?
Adapting operations planning to the ever changing business environment requires agility and a willingness to continuously evaluate and adjust our strategies. This proactive approach ensures that we not only meet today’s needs but are also prepared for tomorrow’s challenges. It also enables us to seize on new opportunities quickly and effectively, keeping us competitive in a fast-paced market.
